We manage fabric inventory (parent rolls, cut rolls, and sample pieces), client and supplier records, dispatch and packing of orders, and sample boards shared with clients for approval. This Privacy Policy outlines how we collect, use, process, and protect business and personal data when our clients, suppliers, agents, transporters, and authorized contacts interact with our internal management portal and our communication channels—including our WhatsApp Business notifications and broadcast messaging.

As a B2B textile roll and sample trading business, we process information necessary to manage inventory, fulfill orders, and coordinate dispatch. This includes:

• Business Contact Information: Name, company name, GST number, phone number, and physical billing/shipping addresses of clients, suppliers, agents, and transport partners.
• Order & Inventory Records: Parent roll and cut roll details (barcode, quality, shade, design numbers, meterage, location, status), sample pieces and sample boards shared for client approval, and packing slips/dispatch records (items, quantities, rates, vehicle and driver details).
• User Account Information: Name, username, email, phone number, and role/permissions for staff who log in to our internal portal.
• WhatsApp Communications: Mobile phone numbers, broadcast message content, message delivery status (sent, delivered, read, failed), and recipient responses sent via the WhatsApp Business API.

3. How We Use Your Information

We collect and process your data strictly to fulfill our contractual and business obligations, including:

• Managing roll, cut roll, and sample inventory, and tracking their status (available, cut, on board, dispatched).
• Preparing packing slips and sample dispatches, and coordinating pickup/delivery with transport partners.
• Sending order updates, dispatch details, and promotional/occasion broadcasts via WhatsApp.
• Sharing sample boards with clients for review and approval.
• Responding to client inquiries and managing user access within our internal portal.

4. Data Sharing & Third-Party Services

We do not sell, rent, or trade any client, supplier, or inventory data to third parties. Data is shared only with trusted infrastructure providers required to operate our business tools:

• Meta (WhatsApp Business API): To deliver order updates, dispatch notifications, and broadcast messages to clients and contacts.
• Cloud Hosting & Database Services: Secure servers used to store our inventory, dispatch, and message records.
• Transport Partners: Transporters receiving shipping names, addresses, and vehicle/driver details solely for order delivery.

5. Data Security & Storage

We implement strict organizational and technological safeguards to protect our inventory records, client/supplier details, and contact information against unauthorized access, loss, or alteration. Access to our internal portal is role-based and restricted to authorized staff.

Message metadata and business records are retained only for as long as necessary to maintain order history, resolve inquiries, or meet legal requirements.

6. Opt-Out & Data Deletion Rights

• Opt-Out from WhatsApp: You may opt out of receiving automated WhatsApp notifications at any time by replying with "STOP" to any message.
• Data Access & Deletion: Authorized contacts or business clients may request the deletion of their personal data from our systems by sending an email with the subject "Data Deletion Request."
